Tech Tip Tuesday: Mastering Microsoft Excel


1. Flash Fill Magic

  • What it does: Automatically fills in data when it senses a pattern.

  • How to use it: Type the data you want to extract in the first cell, then go to the Data tab and click Flash Fill. Excel will fill in the rest based on the pattern.


2. Quick Analysis Tool

  • What it does: Provides quick access to common data analysis tools.

  • How to use it: Select your data range, and click the Quick Analysis button that appears at the bottom right. You can quickly add charts, apply conditional formatting and more.


3. PivotTables for Summarizing Data

  • What it does: Summarizes large datasets to make them more understandable.

  • How to use it: Select your data range, go to the Insert tab, and click PivotTable. Drag and drop fields to create your summary.


4. Conditional Formatting

  • What it does: Highlights cells that meet certain criteria.

  • How to use it: Select your data range, go to the Home tab, click Conditional Formatting, and choose your rules.


5. VLOOKUP for Data Retrieval

  • What it does: Searches for a value in the first column of a range and returns a value in the same row from a specified column.

  • How to use it: Use the formula =VLOOKUP(lookup_value, table_array, col_index_num, [range_lookup]).


6. Keyboard Shortcuts

  • What it does: Speeds up your workflow.


Examples:

  • Ctrl + C: Copy

  • Ctrl + V: Paste

  • Ctrl + Z: Undo

  • Ctrl + Arrow Keys: Navigate quickly through data


7. Data Validation

  • What it does: Ensures data integrity by restricting the type of data that can be entered.

  • How to use it: Select the cells where you want to apply validation, go to the Data tab, click Data Validation, and set your criteria.
